An online project management platform is the best way to manage task management. and are two great options. This system allows you to automate routine work and keep track of whether a task has been completed, is under review, or is complete. You can also easily delegate this system.

G Suite

Google’s G Suite has several applications that make it possible to work remotely. It is a single platform that allows for email, document creation, sharing, and calendars. Remote teams can also benefit from other key features. It is secure and cloud-based. It allows us to share and store content quickly. This is a must-have for remote jobs.

As an agency with multiple clients and projects, we use Trello (and sometimes Asana) to stay organized and make sure all deadlines are met on time. Trello is great because it allows me to track every task and work with as many people as I need. I also have Trello downloaded to my smartphone so that I can keep track of all projects, no matter where I’m at the time.


As a 100% remote growth company, we utilize a cloud-based program, Basecamp, for task management. The project is organized by putting it in buckets. This format is very effective because the due date and assign party are clearly visible, all supporting information is easily accessible, and team members can collaborate at any time.


Asana is a great tool for assessing workload and assigning new tasks. It takes just a few clicks to get a clear picture of the day, highlight any outstanding work, and see what has been done. This allows me to see what needs to be done and what additional tasks might be required.


Many websites are available that can help companies manage their tasks. I, personally, love Slack. It can be hard to get a team meeting because we work remotely a lot. Slack allows you to monitor progress on different jobs and communicate with your team from anywhere. It is easy to use and keeps us all on the same page.

Multiple tools that promote communication, reliability and quality

If you don’t have the right setup, managing a remote team can be challenging. Three key elements are essential for managing remote teams. They are communication, reliability, and quality. To ensure that we operate at a high standard, we use Jira and Basecamp to manage projects, and Slack and Skype to communicate and send emails as required. Multiplatforms add transparency.

A long-term plan

We only hire people that we trust and who are reliable. We set clear goals for remote teams so they understand our expectations. So that they can see themselves as part of the company in the long-term, we always offer them opportunities to work for it.

Consistent follow-up

It is not as common as it sounds. There is almost always an apparent lack of communication after initial meetings or when you have completed all the tasks in your project management software. However, this doesn’t mean that you need to stress all the time. You and your team leaders should be monitoring progress regularly and intervening when needed, not just waiting for deadlines.

Weekly reports

Each member of the team makes weekly reports detailing what they have accomplished and what they are focusing on for the coming week. This is the best way to ensure everyone is on the same page, and that they are accountable for what they do. It also helps us to correct people who plan to do things not in line with our current priorities.

It has been clear from working with remote teams that being organized, taking the time and setting up workflows in any software platforms or platforms, and communicating with your team are essential components to remote work success. You can make changes when needed, but you shouldn’t fix anything that isn’t broken. Use APIs for efficiency and love!

Weekly sprints

We meet via video chat weekly as a remote company to discuss the projects and which team employees are needed to participate in each one. These teams then meet in separate meetings and split the tasks in a way that’s manageable and efficient for all. These projects can be worked on in weekly sprints, which allows everyone to decide their priorities and work at an efficient pace.

Time-tracking tools

Businesses can use tools like Time Doctor to track time and measure productivity. You can monitor the activities of your employees, track clicks, words written, and much more with time-tracking software. A time tracker can help you ensure your remote team is performing well and will also assist with payroll.

Firm deadlines and outcomes

Working with remote teams or any other team means that you need to be clear about what you want and when. This outcome could include deliverables, but it also includes how well the team communicated in order to achieve the deliverables. This way everyone can have a clear expectation and make the desired results happen, even if they are working remotely.

A master KPI spreadsheet

Each week we hold a master KPI spreadsheet meeting, where each remote team has a line. This shared accountability keeps our teams on track. They are also accountable for the consequences.

My preferred method for managing task management in remote teams is to have the team submit an end-of-the-day report that tracks the progress of each task. You can also use tools like or Trello to help you organize remote teams. These tools are a great investment for business owners.
